Will SHAPE America issue a full refund for my registration?

Yes. SHAPE America will be issuing a complete refund for your registration fees, ticketed events and t-shirt purchases. Additionally, if you booked your housing through our convention portal, your reservation will be canceled.

Do I need to request a refund or is it automatic?

If you purchased with a credit card, you do not need to request a refund. SHAPE America will automatically be issuing refunds for fees related to convention registration, convention housing, ticketed events and t-shirt purchases.

If you paid by check, we are requesting that you complete and remit an ACH/direct deposit form in order to expedite your refund. You will need to complete and submit this form no later than April 30, 2020 to ap@shapeamerica.org to receive a refund. Please allow (30) days of receipt of the completed form for the refund to be processed.

If you paid with a purchase order, we are requesting that your organization complete and remit an ACH/direct deposit form in order to expedite your refund. Please check your mailbox for an email from SHAPE America detailing instructions. We have sent the email of instructions to the contact name provided on the purchase order form. Your organization will need to complete and submit this form no later than April 30, 2020 to ap@shapeamerica.org to receive a refund. Please allow (30) days of receipt of the completed form for the refund to be processed.

Do I need to cancel my convention housing?

If you booked your convention housing through SHAPE America’s registration portal, your housing will be canceled automatically. If you purchased housing outside of SHAPE America’s housing portal, you will need to call and cancel your housing.

How will my refund be issued?

If you purchased with a credit card, the refunded amount will be automatically credited back to the credit card you used to purchase your registration. Refunds will be processed as quickly as possible but may take up to thirty (30) days. Please keep in mind that credit card refund posting times vary by merchant and bank.

How long will it take to see my refund?

If you paid by credit card, please allow up to 30 days to process.

If you paid by check or purchase order, refunds will be issued via ACH and processed within thirty (30) days of receipt of your completed form. For additional questions on purchase order or check refunds, please contact ap@shapeamerica.org.

Will I be charged a processing fee?

No, you will receive a full refund with no processing or cancellation fee.

Is there a way for me to get an update on the status of my refund?

Once your refund has been processed you will receive an email confirmation to the email address provided. Please check your inbox. If you do not see your confirmation within 30 days, please email ap@shapeamerica.org.

Who do I reach out to/what do I do if I do not get my refund within 30 days?

Can I keep my hotel reservation?

Unfortunately, we won’t be able to hold any reservations. You will need to book directly through the hotel.

Can I transfer my registration to a future SHAPE America event?

No. A transfer option is not currently available; however, please watch your email box for upcoming opportunities to SHAPE America events.

Will SHAPE America refund my travel costs due to this cancellation?

No. Travel fees from flight cancellations should be handled with your carrier.

I renewed my membership in conjunction with my registration. Will my membership still renew/will I only be refunded the cost of the convention?

You will receive a full refund of your registration fee. If you purchased your membership separately from registration (either prior to registration or as an add-on to your registration), membership will not be refunded automatically.
