SHAPE America has contracted rooms at several hotels offering you choices in your stay. Booking at SHAPE America hotels helps ensure we meet our commitments to the hotels and helps to keep future convention registration and hotel costs down for all convention attendees. Establishing a history of filling our room blocks allows SHAPE America to secure competitive rates when negotiating with future convention cities.

Accommodations must be booked online through SHAPE America’s official housing bureau, Experient, during the convention registration process. Rates cannot be guaranteed if not booked through our official housing bureau.

Hotel Rates and Amenities Chart

Reserve your accommodations early for the best chance of getting your first choice and enjoy these benefits:

  • Comfortable, quality accommodations at lower, negotiated rates. Official hotels have guaranteed that SHAPE America’s rates are the lowest they will offer over the convention meeting dates.
  • Close proximity to the Music City Center. Stay close to “home” to take full advantage of everything the SHAPE America convention has to offer, from high-quality educational sessions to more networking time with colleagues and friends.
  • Assistance from our official housing provider, Experient, should any problems arise with your reservation from booking to on-site.

Looking for a Roommate to Share Hotel Expenses?

To communicate directly with potential roommates, post your arrival/departure dates and in which hotel you would like to stay on Facebook. If you are a SHAPE America member, you may also post requests on our online community, Exchange.

Please note that you and your potential roommate(s) are responsible for booking your hotel room and for all financial obligations relating to your stay. SHAPE America assumes no responsibility for making hotel reservations or for any changes or problems that may arise as a result of this roommate arrangement.

How do I book a flight to Nashville?
Nashville International Airport (BNA) serves the city of Nashville. You can book your airfare through any airline or travel site. If you are presenting at the convention, please confirm the date and time of your presentation(s) before finalizing your plans.

Always research to find the best fares (beware of hotel packages booked with flights as you most probably will not be able to cancel). To ensure comfortable, quality accommodations, book at one of the designated convention hotels through SHAPE America’s official housing bureau, Experient (reservations must be made online beginning in early November.) Rates cannot be guaranteed unless booked through Experient. Booking at one of the designated SHAPE America venues will also provide you with assistance from Experient should any problems arise during booking or after you arrive on-site.

How can I get from the airport to my hotel and around Nashville during my stay?

Those coming into town from the airport now have a convenient and inexpensive way to travel to and from the Nashville International Airport and downtown Music City. For just $1.60, you can ride the Nashville MTA's route 18 Airport/Elm Hill Pike bus between the Nashville International Airport and Downtown Music City. Visit nashvillemta.org or call 615-862-5950 for more information on schedules and pickup locations.

Nashville's clean diesel hybrid Downtown Circulator offers travelers a free and convenient way to get around downtown and the Gulch. The Green Circuit takes you between the Gulch and Riverfront Station. The Blue Circuit runs south to north serving key destinations between the Schermerhorn Symphony Center and Bicentennial Mall. The Purple Circuit runs primarily south of Broadway along Hermitage and Second Avenues and serves key destinations between Riverfront Station and the Richard H. Fulton Complex. It's a great new way for locals and visitors alike to move around the downtown area with ease. Visit nashvillemta.org for circuit maps and schedule.

What should I wear?
Meeting rooms can be cold; layering is recommended. Many sessions are hands-on so you should dress as you would if you were teaching/attending class. There are many social events, awards ceremonies, as well as general sessions. Attendees may not have time to change, therefore, warm-up suits to business attire is acceptable.

What should I bring?
Many members have found the following to be helpful items to bring: Pen and paper for taking notes, state pins to trade with other educators, camera, umbrellas, comfortable shoes, etc.
